Setting up your Resource Manager

Learn how to set up and manage your resources within Turneo and assign them to experiences.

Centralised resource management now enables you to set up a schedule and see the real-time availability of your resources such as staff, rooms, vehicles or specific equipment. You can assign individual or groups of resources to specific experiences to ensure booking slots automatically align with resource availability.

Before starting it's important to ensure you are familiar with the difference between:

  • Experience setup: Creates the experience page with descriptions, images and a booking section
  • Rate option setup: Adds booking slots, pricing setup and a version of your activity (transfer from the airport vs to the airport) to the booking section of the experience.
    • Now, rates will also associate resources with your experiences.
  • Resource setup: Creates schedules and availability slots for resources you use across your experiences

1️⃣ Can I allocate resources to already existing experiences?

Yes, resources can be assigned to any experience, regardless of when it was created. To assign a resource, open the experience editor, go to the Dates & Rates section, and allocate resources to the relevant rate options.

2️⃣ Should I first set up an experience or a resource?

Creating resources is not dependent on creating an experience, as resources can be associated with multiple experiences.

We recommend setting up all your resources first, as they will then be available to assign to the rate options in the Dates & Rates section of your experience setup.

3️⃣ What is a resource and how to set it up?

Resources can be anything you use during your experience. Within the Resource Manager you can add staff schedules, rooms for your spa treatments, tables for dining, vehicles for rentals or tours, sunbeds or jet-skis for beach rentals and anything else relying on a schedule and availability to support activities you offer.

Add a new resource using the 'Resources’ section within your Turneo platform. 

For each resource, there are three key details to add:

  • Availability: Specify the date range of the resource availability and set up a daily schedule
    • To accommodate changing schedules, add multiple date ranges and set up a daily schedule within each range
  • Participants: Set up the amount of participants allowed for this resource
    • Example: Both your boat and a skipper resource should have 8 participants allowed if you want to enable a skipper for a group boat booking for 8 people 
  • Buffer time: If your resource needs any time between bookings, add it as a buffer time
    • This can be for cleaning time, room set up, staff break or similar

4️⃣ How to associate a resource to the experience?

Rate options within each experience are used to associate resources with experiences.

To associate specific or a group of resources, follow these steps:

  1. Open your experience editor, navigate to Dates & Prices section and open an existing rate option or create a new one.
  2. Within the rate option setup, click on ‘Add group’ located at the bottom in the ‘Resources’ section. Groups categorise your resources and set requirements for the booking.
  3. If you have multiple staff members for your spa treatments, you should add all of them to a single group. A single group is used to ensure availability within the same resource type with the booking allocated to the first available staff member.
  4. If you need a staff member and a room for the spa treatment, you should add another resource group with your rooms. Setting up multiple groups will imply that one resource from each group needs to be available for the booking to happen.
